Hotel Booking Confirmation Mismatch After 50: 7 Checks Before Your Stay

Quick answer: If the hotel confirmation differs from the advertised offer or the last checkout screen, first identify which fact changed: final amount, payment status, cancellation deadline, dates, exact room type, access requirement or responsible seller. Save all three records, ask for a written reconciliation, and avoid assuming that a temporary card authorization is an extra charge or that every mismatch automatically earns a refund.

This independent guide is for U.S. travelers aged 50+ who need a dependable booking rather than a generic travel deal. It can also help younger travelers. Your particular mobility needs, budget and arrival schedule—not age alone—determine which differences matter.

The three-document comparison

DocumentWhat to captureWhy it matters
1 · Advertised offerRate description, nights, occupants, room features, mandatory fees and date seenShows what the initial listing represented.
2 · Final checkoutTotal amount payable, taxes, options selected, payment timing and policy text before paymentShows what the buyer saw immediately before confirming.
3 · Issued confirmationReservation number, rate type, charge/hold, precise dates, cancellation deadline, room type and sellerShows how the reservation was recorded.

Do not rely on a single total. A hotel confirmation may list the room subtotal, a booking platform may itemize taxes separately, and the bank may show a temporary hold. The records must be reconciled by category and timing before deciding whether there is a genuine discrepancy.

Seven checks that lead to a practical next step

1. Match the same reservation before comparing numbers

Verify the booking reference, property address, check-in and check-out dates, night count, guests, rate type and selected options. A different room class or tax treatment can make two screenshots appear inconsistent even when they refer to different offers. If the confirmation has the wrong date or room, contact the responsible booking seller before the applicable change deadline.

2. Rebuild the final stay cost with labeled line items

Separate room charges, mandatory property fees, applicable government taxes, optional add-ons and charges due at arrival. Under the FTC’s U.S. short-term lodging fee rule, covered businesses generally must display the known mandatory fee-inclusive total prominently; certain government charges and genuinely optional services have different disclosure treatment. The exact final payable amount should be disclosed before payment. See the FTC’s official FAQ. This rule is about price disclosure; it does not itself make every reservation refundable.

3. Separate a posted charge from an authorization hold

Ask the hotel or merchant which amounts were actually charged and which are only temporarily reserved on the card. A $100 incidental authorization may reduce available credit without becoming a $100 final room fee. Check the posted transaction and the property’s hold-release policy; timing depends on the bank and merchant. Do not subtract a hold from the agreed price or count it twice.

4. Convert cancellation wording into a dated deadline

Find the exact cutoff in the property’s local time, any nonrefundable first-night or full-stay penalty, and whether a third-party platform or hotel handles the request. ‘Free cancellation’ is incomplete without an eligible rate and precise deadline. If the confirmation differs from the prepayment terms, preserve both versions and ask the seller to identify which condition controls before the deadline passes.

5. Reconfirm the exact room feature you need

A broad accessible-room label is not a reliable substitute for the bathroom, bed clearance, step-free route or other feature that matters on this trip. For lodging covered by U.S. ADA reservation requirements, accessible-room information and the reservation process have specific obligations; the property still needs to confirm the actual feature and reservation record. Check the DOJ ADA Title III regulations and our direct-vs-OTA written room checks.

6. Identify the person who can correct the booking

Look for the merchant of record, booking-site support contact, hotel reservations desk and after-hours arrival number. Ask who can amend the reservation and whether confirmation changes are reflected in the property’s system. A platform agent’s email and a hotel desk record may not be identical. Request a corrected confirmation bearing the reservation number.

7. Make a BOOK / VERIFY / COMPARE AGAIN decision

BOOK / KEEP: The actual final charge, written terms and must-have conditions agree. VERIFY: A material detail is still unknown; keep the evidence and contact the responsible provider promptly. COMPARE AGAIN: A critical room feature, payment term or arrival plan cannot be confirmed, and a workable alternative remains available. Do not assume the site can resolve disputes or that you should simply ignore a mismatch.

Worked reconciliation — fictional example

An illustrative two-night stay shows a mandatory-fee-inclusive upfront price of $208 per night, itemized as $180 room rate plus a $28 required property fee. Its mandatory-fee-inclusive pre-tax amount is 2 × ($180 + $28) = $416. At final checkout, a separately disclosed $44 in applicable taxes makes $460 payable. The email confirmation unexpectedly shows $472, a $12 unexplained difference that the traveler should ask the seller to itemize. A separate $120 temporary incidental authorization at check-in would be tracked as a hold, not added automatically to the $472 final bill. These numbers are invented for calculation practice, not a real hotel quote or legal conclusion.
